Ways to Minimize Fear Through Property Management Solutions

The news has been
focusing on the state of the economy, how the housing market has been
hurt, and the threat of a depression. As the media builds and the numbers
are released, the number of people that question me, "How is the
commercial market?" with a concerned look, grows daily. The fear is
correct, because even if nothing happens, there is that fear in decision
makers nationwide. It is that fear that is driving focus to conserving,
minimizing expenses, and shortening future planning.
As a commercial
property manager, what am I doing to protect my clients' investment?
Being proactive. One of the key factors in a profitable building is
income, so you must protect your source of income. The tenants you
currently have are extremely valuable and should be treated as such.
A happy tenant is a
loyal tenant. I'm not suggesting you grant them their every wish, but you
need to make sure their needs are being met. The best way to keep tenants
happy is to ensure the building and systems are properly maintained and
frequent communication. The easiest way to find out where you need to
improve is to ask through a survey. Tenants will be happy to point out
areas of concern, but be sure to find out what they like about the
building as well. You will want to make sure the positives remain.
Once you have compiled
results from a survey, share the results with the tenants. This ensures
the tenant that their suggestions were heard and that they are a part of
the building, enhancing that loyalty. After reviewing the suggestions and
prioritizing items a plan of action should be shared. Even if there are
some items that cannot be corrected or are not budgeted for this year,
communicating what will occur will enhance the relationship. Sticking
with the plan is essential, any set backs or changes should also be
communicated.
The other side of the
equation is expenses. Reducing expenses can be a bit of a juggling act.
Requesting bids of suppliers and reevaluating contracts are the first
place to start, but with a bit of caution. At a time when you are trying
to ensure tenant satisfaction, utilizing a new vendor can be a challenge
as you work on familiarizing them with tenants and building oddities.
Another way to reduce
expenses is to conserve. This is sometimes a challenge in multi-tenant
buildings, so it is important to communicate ideas clearly to all. Some
managers have had success by initiating a team approach. This is a great
concept, because the more people you have communicating your mission, the
louder it will be heard.
